How this AI-powered platform is revolutionizing employee wellbeing

The COVID-19 pandemic forced workforces globally to adapt to new ways of living and working remotely. Despite working at different companies at the time, Adam Plona, Jakub Zieliński, and Małgorzata Ohme, joined forces to create Mindgram, a solution to support employee wellbeing.

Addressing mental health in the modern workplace

Warsaw-based Mindgram’s web and mobile app offers a holistic solution providing staff and their relatives with psychological and self-development support 24/7. Through personalized programs, one-on-one expert guidance, and science-backed resources, Mindgram promotes and supports well-being through clinically proven methods designed in cooperation with experienced psychologists and specialists.

“We offer employees three key support pillars; future skills training, group sessions, and personalized consultations - all enhanced by AI. This gives workforces the life skills to help them better deal with ongoing challenges in both their private and professional lives. It’s where AI technology really comes into play,” Plona says.

Mindgram's innovative AI-driven approach to employee wellbeing

Mindgram relies on Google AI for language translation and lip syncing, as well as for their AI experts. As the Polish startup expands into markets outside of Eastern Europe, they’ve developed AI trainers capable of speaking 38 languages to support the almost 1 million users across 50 countries on the app. The trainers help users form healthier habits around everything from quitting smoking, to weight loss and improved sleep.

This broad language penetration would have been almost impossible to deliver at scale for a reasonable price, so Mindgram’s AI functionality helps facilitate greater accessibility for all types of users. Plona is keen to stress these AI experts aren’t designed to replace medically trained clinicians who provide ongoing consultations for users at Mindgram, they are there to provide supplementary advice and support for more specific health concerns.

“AI trainers are trained by our clinical care team in cognitive behavioral therapy protocols and our LLMs are developed to address particular habits. Furthermore, unlike traditional healthcare professionals, these experts are available 24/7,” Plona says.

Apart from the experts, there are plenty of other AI-powered features on the Mindgram application. The clinical care team has access to AI-generated summaries of patient consultations, whilst LLMs are trained to provide users who complete psychometric tests with tailored interpretations on things like sleep quality.

Mindgram’s infrastructure is built on the Google Cloud Platform and the team depends on AI tools like Gemini to perform language translations, automate internal processes, optimize workflows, and generate documentation. ”We rely on Gemini to help us develop our AI agents, and we turn to Google’s lightweight Gemma models for lightning‑fast content translation. What really matters to us is that Google's tech stack is both reliable and affordable— a game‑changer for a startup like ours that is laser‑focused on cost‑efficiency,” Plona says.

Better still, the founders gained exclusive access to the Google for Startups team during their participation in the Growth Academy: AI for Health program.

“It was one of the best programs we participated in and we got a chance to connect with other founders facing similar challenges. What's more, we were privileged to work closely with Google experts actively developing tools that we’re now using at Mindgram — that type of access would be impossible on other accelerators,” Adam said.

Indeed, it was this collaboration that inspired the idea of Mindgram’s AI agents to support users with more specific health concerns rather than generic ones. Partnering with Google’s AI specialists was a turning‑point for Mindgram.

“They challenged us to stop chasing the dream of a one‑size‑fits‑all wellbeing assistant and instead develop laser‑focused agents that tackle very specific habits. That shift was transformative; now we have AI agents that help users fight late-night cigarette cravings or guide them back to sleep after a restless night. These agents deliver real value because they’re available 24/7, speak virtually any language, and never run out of patience—exactly what habit work demands when repeated attempts often end in relapse. By narrowing the scope we could embed evidence‑based protocols, and remove the stigma many people feel when contacting a human specialist about health battles they struggle to overcome. In short, Google helped us turn ambitious AI into habit‑changing, always‑on companions that users genuinely rely on,” says Adam.

A bold mission to use AI to democratize workplace wellbeing

Plona anticipates that AI will revolutionize mental healthcare, enabling specialists to deliver highly personalized care while AI assistants provide tailored support at scale. He believes Mindgram's AI technology will democratize healthcare, making it more accessible to everyone.

Mindgram is already a leader in the Polish market and within five years it aims to become a leading wellness provider in Central and Eastern Europe. Indeed, the founders are actively pursuing global expansion, building on the 20% of their business already conducted internationally.

"We're trusted by over 300,000 employees across 200 of Poland's largest enterprises, including DB Schenker, Bolt, Dentsu, Deichmann, and Orange," Plona notes. In a testament to their success, the Mindgram app has been downloaded over 50,000 times and boasts a 57% user engagement rate, significantly higher than the 30% average for other wellbeing platforms.

Additionally, with affordable access to mental health services out of reach for many and excessively long waiting appointment times a norm, Mindgram reduces the financial barriers for users. All costs are covered by employers ensuring the app is free for employees to access mental health support anytime, anywhere.
